A parent has asked to be deleted: what to do

Your church's Owner can permanently erase a child's or trusted person's (the parent or caregiver) profile and contact details from View archived people. Archive them first, then erase the children before erasing the adult.

Before you start

Your church decides whether to erase records according to its own retention requirements. Audit entries and past attendance records remain after erasure, as described below.

Steps

  1. Open People and archive each of the family's children, then the trusted person. Archive the children first, because a trusted person with active children attached can't be archived. See Archiving a person, and restoring them.
  2. Press View archived people.
  3. On a child's row, press Erase, tick the box to confirm, and press Erase child.
  4. Repeat for each of the family's children.
  5. On the trusted person's row, press Erase, tick the box, and press Erase trusted person.

Erasing removes the person's profile and contact details. For a trusted person it also removes their sign-in, their invitations and their links to children.

Important

Erasing can't be undone. If you add the person again, they're a new person with no history.

What stays behind

Your church's audit trail keeps its entries indefinitely. Past check-ins and check-outs remain on record, and room reports and CSV exports show Removed child or Removed trusted person in place of the name.

The erasure itself is recorded too. That entry keeps the person's name and, for a child, their year of birth. Earlier invitation entries may also hold a trusted person's email address. See What your church's audit trail records, and why.

Troubleshooting

  • The trusted person's Erase dialog lists children instead of a confirmation box. Erase those children first: press Erase child beside an archived child, or for an Active child press Open child record and archive them. If a child should stay in your church, move them to another primary trusted person instead. The confirmation box appears once the list is empty.
  • Erase isn't on a person's row. Is the person archived? Erase appears only on View archived people, and only for your church's Owner, so a volunteer needs to ask the Owner.
