What your church keeps, and for how long

Your church's records stay until your church's Owner erases them or deletes the church. The one thing we delete on a schedule is feedback sent from the app, after 24 months.

What archiving does

Archiving a child or a trusted person hides them from People and from check-in. Their record and attendance history stay as they were, and you can restore them later. See Archiving a person, and restoring them.

Archiving a room, session or location keeps its records in the same way, and an Owner can restore any of them. See Archiving a room, session or location.

Erasing a person

Your church's Owner can erase an archived child or trusted person for good. Erasing removes their profile and contact details, and for a trusted person their sign-in, invitations and links to children. It can't be undone. See A parent has asked to be deleted: what to do.

The audit trail is kept indefinitely

Every entry in your church's audit trail, from a sign-in to a check-out, is kept in full for as long as the church exists, and nobody can edit or delete it, including us. Past check-ins and check-outs for an erased person stay on record, and room reports and CSV exports show Removed child or Removed trusted person in place of the name.

The entry recording the erasure keeps the person's name and, for a child, their year of birth. Earlier invitation entries may also hold a trusted person's email address. See What your church's audit trail records, and why.

Deleting your church's account

Your church's Owner can delete the church from Settings. For 30 days you can download an export or ask us to restore the church. After that it's permanently deleted, audit trail included. See Deleting your church's account (and exporting first).
