What a volunteer can and can't see

Every volunteer sees Today, People and QR codes in the sidebar. They can open rooms, run check-in, and look up any child or trusted person (the parent or caregiver collecting them) in your church. Records are view only until the Owner gives them more access.

What they can do

  • Open a room and run check-in. Their name is recorded against each room they open.
  • Look up anyone in your church on the People list, with search and filters.
  • Read a child's Allergies and medical.
  • Get the check-in QR codes, including Download.

What the Owner can add

The Owner can give any volunteer one or more of these, and each adds a sidebar item or a set of buttons:

  • Manage people: add, edit, import and archive families, and settle items in Review sync, except any marked Owner-only fix.
  • Manage volunteers: invite and remove volunteers.
  • Manage rooms: create, edit and archive rooms.
  • Manage sessions: create, edit and archive sessions.
  • View reports: see attendance and export reports.

To choose, see Change a volunteer's access. Some things stay with the Owner whatever access a volunteer has: erasing people, the audit log, locations, billing, settings, handing the church to someone else, and setting anyone's access.

They see every family

A volunteer's access to People covers your whole church, and not only the room they help in. That includes names, ages, rooms, families, trusted people, contact details and medical notes. This applies to volunteers invited for a single session too.

If a volunteer can't open a page

If you send a volunteer steps written from your own screen, they may land on a page they can't open. They're returned to the Today dashboard with You don't have access to that page. That means the task needs an Owner, or access the volunteer doesn't have yet.

Troubleshooting

  • A volunteer needs to edit a record. Give them Manage people access, or ask the Owner to make the change. See Change a volunteer's access.
  • A child's record changed and no volunteer touched it. A child's primary trusted person can edit their details from the check-in area.
  • A volunteer can't find Reports. Give them View reports access, or run the report yourself and share it with them.
  • You want a volunteer limited to one room. Volunteer access covers every family in your church. A helper who doesn't need that access can assist in the room while an invited volunteer opens it and runs check-in.
