Create and edit a room

To create a room, go to Rooms and press Add room. Your church's Owner can do this, and so can a volunteer with Manage rooms access. If you don't have Manage rooms access, ask the Owner to turn it on. A room needs only a name.

Steps to create a room

1. Go to Rooms and press Add room.
2. Enter a Room name. Use the name your church already uses, since volunteers and trusted people (usually parents and caregivers) read it.
3. Fill in the rest of the room's details. Band by defaults to Age, and Check-out defaults to Secure.
4. Press Add room.

To change any of it later, press Edit on the room's row.

The age range

Age ranges run in six-month steps from 0 mths to 2 yrs, then yearly to 18 yrs. The top age counts in full, so 3–5 yrs takes children right up to their sixth birthday, and 0–18 mths takes them until they're 19 months old.

A room's range doesn't stop anyone joining it. It only suggests a room: when you add a child, the narrowest room whose range contains their age is pre-selected as their Default room, marked Suggested from their age. You can change it, so a four year old can still go in a room marked 6 mths–2 yrs.

To band a room by school year instead, switch Band by to Grade. The bounds then use your country's school years, such as Year 1 to Year 2 in Australia and New Zealand or 1st grade to 2nd grade in the US. Grade-banded rooms suggest a child's room the same way.

The room mark

Pick a color and icon that make the room recognizable at a glance. Volunteers scan for them on the Today dashboard when they're finding their room, so choose marks that differ from each other.

Secure vs Relaxed

Check-out decides how a room hands a child back at pickup, and you set it per room.

• Secure, the default. A trusted person checks the child out in the check-in app, and a volunteer in the room confirms the handover on their own device before the child is released. It's slower at the door, but nobody leaves without a volunteer confirming.
• Relaxed. Checking out in the app releases the child right away, with no volunteer confirmation. It's faster and suits a room where you know every family, but the record shows only who checked the child out.

You can change it on the room's Edit page at any time. The change applies the next time you open the room. See Understanding Rooms and Open Rooms.

Troubleshooting

• You changed Check-out but today's room still waits for a volunteer. Close the room and open it again to pick up the change, or wait until next time.
• You can't find Rooms in the sidebar. Rooms shows for your church's Owner and for volunteers with Manage rooms access, so ask the Owner to make the change or to give you that access.
• The room isn't offered when you open a room. Check whether it's been archived. An Owner, or a volunteer with Manage rooms access, can bring it back from View archived rooms.
• You want two rooms with the same name. Rooms are shared across your whole church, so Nursery at two locations is still one room. Give the two rooms different names.
