Understanding Rooms and Open Rooms
A Room is a space and who it's for, and you set it up once. An Open Room is that room running on the day, with a volunteer's name against it and a clock on check-in. You open it every time you use it.
- Room. Nursery, set up once and used every week.
- Open Room. Nursery, opened by Ruth Nakamura for today's service. It appears on the
Todaydashboard, which is what lets a trusted person, usually a parent or caregiver, check their child in.
How rooms and open rooms work
Each child has a Default room on their own record, pre-selected at check-in every week, so moving a child up means changing that one field.
A volunteer is recorded against each Open Room. That gives you a record of who was with which children on which date.
The same Room can open into more than one session. Nursery can open into Sunday Service, into a Wednesday playgroup or into a Friday youth night, so you don't need a second Nursery.
Using Rooms
- Create the Room from the
Roomspage. See Create and edit a room. - When the session starts, go to the
Todaydashboard and pressOpen a roomunder the session you're running. - Pick the room and confirm the
Check-in duration, then pressOpen room. - You land on the room's dashboard.
Troubleshooting
- The room is already open. Close the dialog and look for the room's card on
Today. - Last week's room isn't open. An Open Room belongs to the session it was opened for, so open it again from the
Todaydashboard when you're ready to run it.
