How do I change a child's primary trusted person?

An Owner, or a volunteer with Manage people access, can choose a new primary trusted person from the child's record in People, using Transfer primary trusted person. The new primary manages who else can collect the child, and the old primary stays trusted until you remove them. If you don't have Manage people access, ask the Owner to turn it on.

Before you start

The new primary needs to be on your People list and have accepted their invitation. If they're new to your church, add them first.

Steps

  1. Open People and press the child's row.
  2. Press Transfer primary trusted person.
  3. In New primary, search by name or mobile number and pick the adult.
  4. Read the notes in the dialog, then press Make primary.

The change is recorded in your audit trail.

What changes

  • The new primary manages this child's trusted people, and everyone they trust can check this child in and out.
  • The old primary stays trusted. They can still check in and out this child, and every child of the new primary's, until you remove them.
  • Anyone the old primary trusted loses access to this child, unless the new primary trusts them too.

Repeat the transfer for each child who needs a new primary.

When the old primary has left the church

Before archiving the old primary, transfer or archive their children and remove their remaining trusted access:

  1. Transfer each of their children to the new primary, as above, or archive those children if the family has gone.
  2. Open one of those children's records and press Remove beside the old primary, then Remove trusted person. This ends their access for every child of the new primary.
  3. Open their own record from People and press Archive person.

If Archive person says A primary still trusts them, check that you've removed their remaining trusted access in step 2. See Archiving a person, and restoring them.

Troubleshooting

  • You can't find Transfer primary trusted person. It's on the child's record, not the adult's, and only the Owner and volunteers with Manage people access see it. If you're a volunteer without that access, ask your church's Owner to make the transfer or to give you the access.
  • The adult you want doesn't show in New primary. Search by their name or mobile number. If they're archived, restore them first.
  • The old primary's trusted people can't check the child in any more. Ask the new primary to add them as trusted people.
