Do I have to import my families before Sunday?

No. A trusted person (the parent or caregiver collecting a child) can join on the day without you entering anything first. They scan your QR code on their own phone, sign in with their email, add their own details and their child, and check in. Importing only saves them that first-visit typing.

When someone new scans the code

They sign in with their email and a 6-digit code, then add their own name, an optional mobile number and their child's details. A room is suggested from the child's age. A family can set up at any time without a room being open. They can check in once a volunteer opens a room. Setting up the first time is the same journey written for them, if you'd like something to send.

Important

Room suggestions only work for rooms that have an age range. A room without one is offered to every new child, so set ranges in setup or in Rooms before your first session. See Create and edit a room.

Families you've already added

A trusted person you've added, by import or by hand, signs in with the email you have on file for them. If you added their children together with them, the children are already there, in the room you gave them. A trusted person added on their own adds their child first.

After the first visit

Their phone remembers them, so from the second visit they scan, then tap once to check in. On a new phone or a different browser, they sign in again.

What you need on the day

  • A room open, to check in. Until a volunteer has opened a room, families who scan see that check-in isn't open yet. See Open a room.
  • The QR code where families arrive. Download it from QR codes and print it. See Your check-in QR code.

See what families see

Go to People and press See how parents join. Press it to see what a new family and an already added family each see on their phone.

Troubleshooting

  • A parent you added is asked to set up again. They've signed in with a different email from the one on their record. Ask them to use that one, or change it on their record in People.
